The legal obligation behind this

Spanish law (Royal Decree 933/2021, the SES Hospedajes regulation) requires hosts to register guest and stay details with the national police within a fixed window of the triggering event. Checkinea exists to handle this filing for you automatically, so you don't have to submit anything to SES by hand.

Two separate filings, one booking

Every booking carries up to two authority submissions, and the app groups both under the umbrella label Police report wherever you see a single status icon or badge:

  • RH — Booking report. Filed as soon as the booking itself exists (from an iCal sync, a forwarded confirmation email, or confirming a booking candidate) — it doesn't wait for check-in.
  • PV — Traveler report. Filed once check-in is completed for the booking's guests, with each traveler's full identity details. Until check-in happens, its status legitimately reads "No SES activity yet" — that isn't a problem, just the normal order of things.

Because they're filed at different moments, a booking often shows the RH already confirmed while the PV still says "No SES activity yet" — that's expected, not a sign anything is stuck. See SES statuses for what every individual status means.

What guests need to provide, and why

Checkinea's own check-in form tells guests: Spanish law (Royal Decree 933/2021) requires the host to register the details of all guests with the authorities, and that their data is used only to meet this legal obligation. The RH mainly needs booking-level facts (dates, reservation reference, a contact channel for the lead guest); the PV needs each traveler's full identity — hence it can only be completed once every guest has filled in their check-in details.

Deadlines

Checkinea's own design targets filing both the booking report and the traveler report within 24 hours of the event that triggers them (booking creation for RH, check-in for PV) — this is also what drives the "Deadline approaching" and "Overdue" statuses you'll see if a filing stalls. Beyond that, defer to SES's own published rules for anything not reflected in Checkinea's statuses — this article only describes what the app itself does.
